An illustrative example: every item in “update the page” is ticked. The text was replaced, the image uploaded and the link sent. The manager opens it on a phone: the button is hidden behind the image. The list says done; the visitor’s experience says otherwise.
A checklist is a short list of verifiable steps. It helps retain details, but does not replace agreement on the outcome. Before configuration, separate two questions: what to do and how to confirm it worked.
Write items that can be checked
“Work on the page” cannot be ticked unambiguously. “Publish the approved text” describes an action. “Open the published page on a phone and test the button” provides an observable result.
Do not give every mouse movement its own line. The list should retain important checks rather than make the employee maintain the list instead of doing the job.
For an item needing approval, specify who confirms the result and where that confirmation remains. An employee’s tick and the task requester’s decision can be different events.
Set it up in Bitrix24
Open Checklists in the task record and add a meaningful name. Preparation and acceptance can be separate lists. The official instructions describe creating and editing checklists; check participants’ permissions in your portal.
Do not assume a co-executor on an item automatically owns the entire task outcome. Agree who assembles the result and submits it for acceptance. If a part has its own outcome, deadline and independent work, consider a separate task rather than an endless list.
Check features, interface and permissions for the edition and plan used. Adding a checklist alone does not establish mandatory quality control.
Add evidence where mistakes are easy
For a training task about a page, acceptance might include:
- the published version opens, rather than a draft;
- the required text matches the approved version;
- the button leads to the expected page;
- content and the action remain visible on a phone;
- reviewer comments are resolved or explicitly agreed.
This is an example, not a universal standard for every website. Do not attach unnecessary visitor data as evidence. For a team in Kyrgyzstan, include the required language versions separately if work spans languages.
Test the list on one task
Ask a colleague to follow the items without verbal explanation. If they ask “what counts as done here?”, rewrite the wording. Then show the list to the person accepting the work.
Do not silently add requirements afterwards. If the task changes, agree updated criteria, deadline and responsibilities. Otherwise the checklist becomes a moving finish line.
QQDev implements Bitrix24 and trains teams. The implementation page is a place to discuss a task template and acceptance rules for your workflow. Start with one example the team closed but the manager still considers unfinished.
