“It already expired”: keep track of document and subscription renewals

A simple register of important dates: what expires, who decides, when preparation begins and how renewal is confirmed.

Illustrative example: an essential service stops on renewal day. A reminder email arrived long ago in the mailbox of someone now working on another project. Everyone remembered the service; nobody owned the date.

Start with a register: a shared list of important deadlines showing the item, date, owner and required action. A work system can remind people and retain outcomes, but it does not decide whether the company needs renewal.

Do not put every date in one field

Distinguish expiry, the decision deadline and preparation start. If approval, a quotation or a technical check is necessary, starting on the last day is already awkward.

Name the date source: the current document, service account or confirmed email. A file called “new contract” does not prove the register contains the current date.

An authorised specialist checks the scope and meaning of legally significant document dates. The register organises control; it does not establish mandatory deadlines or replace professional review.

Give every record an owner

The owner checks whether renewal is needed, starts approval and records the outcome. The payer and decision maker can be different people.

Name a backup for absence. If everything depends on one person's private calendar, the list is not yet a shared process.

Restrict access to files and terms by role. A reminder does not always need a full document copy: a link to the approved storage location and information about who can open it may suffice.

Arrange reminders in Bitrix24

One straightforward option is a task for reviewing a particular renewal, with an owner, an expected result and necessary links. Bitrix24 supports reminders for task participants.

Choose a time that leaves room to do the work, rather than merely learn it is overdue. This is an internal company decision; no universal number of days suits every document.

Check the tool, permissions and your portal's conditions. A notification being sent does not mean someone saw it or approved an action. Important dates need an understandable review and backup procedure.

Confirm renewal itself

After a decision, record the outcome: renewed, declined, service replaced or still unresolved. For a renewed item, verify the new date against its source and update the register.

Do not close the control task merely because a request was sent or handed over for payment. If confirmation is pending, the next employee should see that.

For a team in Kyrgyzstan, agree local review times and notification languages. Match external service deadlines to their stated time zones rather than guessing from a domain.

Run a short rehearsal

Use a training record, receive its reminder and take it to a verified outcome. Then change the owner and check whether a colleague can continue without searching private email.

The first register can be a spreadsheet. When dates multiply and actions cross several people, discuss organising control in Bitrix24 with QQDev. Bring a few anonymised examples. They make fields, roles and workflow easier to define than “let the system remind us about everything”.
