An illustrative example: email contains “proposal-final”, chat has “final-new”, and the customer receives a file from Downloads. The most confident filename proves the least reliable guide.
You can start without a complex system: agree where the working original lives, who changes it and how an approved version is identified. Online storage is a shared place the team accesses through the internet, rather than another folder of copies on every computer.
Choose one working original
For collaboration, send a link to a shared file rather than another copy with every clarification. State who keeps it current and where comments are collected.
Separately define approval. Permission to edit does not mean the document is ready to send to a customer. An approved outcome may need a retained version for a particular delivery.
Do not delete old documents in bulk before establishing which support existing commitments. Agree retention of approved materials separately.
Access matters more than a convenient link
Test the link as a colleague with ordinary permissions. They should see the required file, not an entire unrelated folder. Separate viewing and editing where needed.
A link for internal discussion should not automatically become a public customer link. Before sending, check the access mode and exactly what the recipient can see.
For a team in Kyrgyzstan, also establish required language versions: a translation is separate content, not an accidental replacement of the working file. The relationship between approved versions should remain clear.
A possible setup in Bitrix24
Consider Bitrix24 as a shared working environment if tasks and discussions are needed alongside files. Documents can use Drive; version history capabilities and retention depend on product terms.
The official document version guide describes retention limits. Before choosing, check current conditions for your plan and scenario. Change history should not automatically be treated as an independent backup of the entire business.
If the team already uses suitable storage, moving for a product name alone is unnecessary. First check whether it can provide the required rules.
Test the process on one document
Use a training file without personal data. Have one employee edit it, another suggest a clarification, the owner approve the result and the sender find the approved version.
Safely test restoring an earlier state if the team needs that capability. Establish who may do it and what happens to changes already made.
After the test, write a short rule: where the original and comments live, who approves and which version is sent. That instruction is more useful than “pay closer attention to filenames”.
QQDev implements Bitrix24 and trains teams in daily work. The implementation page is a place to discuss documents without prior web-system experience. Bring an anonymised journey of one file from creation to delivery: it reveals where currency is lost.
