Who has the laptop? A simple equipment register without office detective work

Agree how work equipment is handed over and returned: one record per item, current holder, condition and confirmation of changes.

An illustrative example: the team needs a spare laptop before a meeting. One colleague remembers it going on a site visit, another remembers its return and a third confidently points at an empty cupboard. The item has a rich biography, recorded only in other people's memories.

Start with a register: a shared list of items and information about them. Your first step does not require a complex web system, meaning software the team uses through a browser. Agreeing who updates the record when an item changes hands matters more.

One item, one record

Give every tracked item a stable identifier. A model name is insufficient when several laptops are identical. Record the name, included accessories, condition and, if needed, a photograph without unrelated data.

Decide what is tracked separately. A charger may travel with a set or as an independent item. Participants need the same understanding of the record instead of arguing over a missing cable at return.

Separate the person and the location

Record the current holder, storage location and date of the last confirmed handover. “At the office” does not say who knows the item's condition. Assign someone to maintain the register too.

During a handover, ask participants to confirm the item, accessories and condition through an agreed method. Update the record when it is returned, rather than after the next search. “Gave it to a colleague” does not identify the recipient.

Choose a sufficiently simple tool

A small team may only need a shared spreadsheet with a limited group of editors. Check that colleagues see the current file and know where to report changes. Avoid separate copies for each department.

If the company is considering Bitrix24, Lists are one option: configurable records with fields and access permissions. Creation is covered in the official guide. The tool is not available on every plan, and an administrator creates the list. Check conditions on the selected portal first.

An operational register does not replace accounting or inventory management. Exchange with an accounting application, documents and asset value need a separate scenario. Do not promise that filling in a record automatically resolves them.

Try a handover

Take one test item: issue it, transfer it to another participant and return it. Ask a colleague to find the current holder and latest condition without hints. If that is difficult, simplify fields and rules.

For a team in Kyrgyzstan, agree on location names, working languages and inter-office handover procedures. Do not store device passwords in the shared list.

QQDev implements Bitrix24. On the implementation page, you can discuss a simple register even if you currently only have a cupboard and a spreadsheet. Start with an item list and one disputed handover: it will reveal the rules that are actually missing.
