An illustrative example: sales manages enquiries in CRM while delivery plans work in a separate task manager. Management wants to “connect everything”. Employees end up updating two identical records and gain a third job: reconciling them.
CRM means customer relationship management. A task manager organises assignments. Two tools can coexist if each has a clear role and the team does not duplicate one workflow unnecessarily.
Find the handover point first
Define when a sale becomes ready for delivery. For example, the scope, input materials and result criteria have been agreed. Moving a deal to another stage alone does not guarantee readiness.
State who hands work over and who accepts it. If information is missing, the question should return to a named person rather than disappear between two applications.
Keeping a familiar task manager can be sensible. Moving is not compulsory merely because a new CRM also offers tasks.
Transfer the minimum working information
A starting set often includes the outcome description, agreed deadline, owner, necessary materials and a link to the source record. This is a project guideline: define the actual data for your workflow.
Do not copy every conversation and personal detail “just in case”. Check that recipients have appropriate access and understand the context. For a team in Kyrgyzstan, agree the language of internal notes and time conventions for deadlines.
Separately define the return event: delivery reports readiness, work is accepted or the order is closed. These are not always the same event.
What to consider in Bitrix24
Bitrix24 includes project tasks, explained in the official instructions. They are one possible way to organise delivery if suitable for the team.
If CRM or tasks remain elsewhere, do not assume a connection is automatically available. Check a supported exchange method, permissions, plans, the external product’s terms and API limits—the interface used for exchanging data between applications.
Sometimes an internal rule and a link are enough. Development makes sense when the recurring work, its volume and the required outcome are understood.
Test both handover and return
Use an anonymised example to test creating an assignment, missing materials, a changed deadline and returning the result. Confirm that resending does not create a second independent assignment.
Agree who detects a connection error and how work is restored. Do not make customers discover which system currently contains their order.
QQDev implements Bitrix24 and develops API integrations. The implementation page is a place to discuss a workflow with existing tools. Start with one departmental handover: it reveals which information truly needs linking.
