An illustrative example: an administrator connects a mailbox, sees an email in a deal and declares setup complete. The salesperson cannot see it. A colleague from another department, however, receives unnecessary context. One administrator check does not describe the whole team’s experience.
Email integration with CRM links conversations to working records. Before connecting it, decide who actually needs access and test scenarios through ordinary employee roles.
Distinguish the mailbox from the customer record
Check access to the mailbox separately from visibility of a saved CRM email. Do not treat them as one permission.
In Bitrix24, email visibility depends on access to linked elements. A message linked to both a deal and contact requires checking both. The official CRM email FAQ explains this.
Check your portal’s actual configuration, permissions and plan restrictions. Do not grant an entire department broader access just to make one email visible.
Prepare roles and a training email
Name the participants: the assigned salesperson, a colleague receiving a handover, a manager and an employee from another business area. For each, record the expected action: read, reply, transfer the question or have no access.
Use a controlled training email without customer secrets. Do not test settings by sending messages to real buyers in bulk. Agree the test-sending procedure within the team.
For a company in Kyrgyzstan, include familiar languages and recognisable fictional customer labels in the training scenario. Access checks should not depend on guessing email contents.
Follow the journey through different roles
Check receipt, saving to the correct record and opening by each authorised participant. Separately check that someone outside the scenario does not gain unnecessary access.
Then consider handing the customer to a colleague and an incorrect email link. Who fixes it? What will the previous and new owners see? Check change permissions too rather than assuming them from read access.
If a message is invisible, investigate its links and permissions first. Do not use administrator access as a universal “email repair”.
Record the working rule
Document which mailbox serves the process, who owns configuration, who may access it and where to get help. After team structure changes, repeat the training check.
Discuss only necessary information: forwarding the entire conversation into a group chat can undo boundaries carefully configured in CRM.
QQDev implements Bitrix24 and trains employees in working scenarios. The implementation page is a place to discuss email connection and role checks. Bring a “who should see which email” map: it is more useful than “give everyone access”.
