When to keep your current CRM: five questions before a major move

Not every problem needs a new system. Separate product limits from unclear working rules and test whether moving to Bitrix24 makes sense.

An illustrative example: a manager dislikes a report and proposes replacing the CRM. Later, the same awkward report appears in the new application because the team still records completed sales inconsistently. The furniture moved; the habit came along.

CRM means customer relationship management. If you already use one, start with diagnosis rather than an obligatory move. Compare Bitrix24 as one possible answer to specific tasks.

What exactly cannot be done

Name an observable failure: an employee cannot find enquiry history, a manager cannot see loss reasons, or an order must be entered again manually. “The system is outdated” does not yet explain what should change.

Find an example and expected outcome for each case. Check whether the current product offers the necessary feature and why it is not used. Sometimes permissions, configuration or a missing instruction are the issue. Do not claim a platform “cannot do anything” without checking.

Is there a shared working rule

If employees interpret stages differently, a new CRM will not automatically create shared meaning. Agree definitions and test them on several records.

Appoint someone responsible for rules and changes. Otherwise, people compare systems by button count while the problem remains ownerless.

If clarifying the workflow makes the current system deliver the required outcome, keeping it may be sensible. That decision needs checking too, but it does not make the company less modern.

What happens to the other tools

List dependencies: website, email, telephony, accounting, reports and documents. For each, state what data moves and who maintains the connection.

Do not assume an existing connector transfers to a new CRM unchanged. Check both products’ official documentation, permissions, plans and provider terms. For a team in Kyrgyzstan, investigate regional connection conditions separately.

Sometimes configuring an exchange solves the problem while the existing CRM remains the main system. Confirm feasibility and boundaries for the particular products.

Have you tested the alternative on your example

Show the same anonymised scenario in the existing system and Bitrix24: a new enquiry, clarification, handover and completion. Assess whether actions are understandable and information available, rather than how impressive the demonstration looks.

The official CRM guide introduces the product’s logic. Check the precise features and restrictions for the selected edition and plan.

Have you included the work after moving

The decision should cover data transfer and validation, training, integration changes and transitional support. Separately agree how to handle unfinished enquiries and avoid maintaining two parallel databases.

If moving is justified, start with a trial import. If not, record which improvements you will make to the current process and how to check their outcome.

QQDev implements Bitrix24. The implementation page is a place to discuss the underlying task even if you use another CRM. Bring one problematic scenario so the conversation concerns an appropriate solution and its boundaries.
